Volunteer Resources

The following are resources that were shared during the Volunteer Training Sessions.  The sample email below may be a good starting point for communicating with your school, but all visits look a little different so you will want to tailor this to fit your needs.  Also, experience has shown that phone calls sometimes work faster than emails.

Sample email to teacher for arranging school visit:

Dear Ms./Mr. <<Name>>

I am a volunteer with Central Texas Discover Engineering.  <<School Name>> requested a Discover Engineering visit through the Central Texas EWeek website (www.centexeweek.org) and I will be coordinating the visit and activity for your school.

A typical Engineers Week visit includes a hands on activity for all students to participate in and a short follow-up discussion about the connection between the activity and engineering in the real world.  Volunteers will provide activity materials and may even bring goodies for the teacher and students.  We expect that teachers will remain in the classroom during the activity (you are even welcome to join in!)

Visits can last anywhere from 45 minutes to 2 hours depending on the number of students and volunteers involved.

I’d like to verify a few details of the visit to <<School Name>>.  On your registration form you indicated the following:

Student grade: <<this info is contained in the matching email from the Steering Committee>>

Total students to be served: <<this info is contained in the matching email from the Steering Committee>>

Possible Dates: <<this info is contained in the matching email from the Steering Committee>>

Please verify the student information above and let me know if the following date and time would work for you:

<<provide a couple of dates to choose from>>

Thanks!

<<include your name, company name, email and phone number in your signature>>
